Position Summary: the general role for PMO UX Specialist is to improve the usability, accessibility, and consistency of all PMO-related digital systems and tools
PMO UX Specialist is responsible for ensuring that ERP forms, trackers, dashboards, and templates are user-friendly and aligned with user needs and PMO standards. This role collaborates closely with PMO stakeholders, ERP/IT teams, and other specialists to ensure that tools not only function correctly but are also intuitive and easy to adopt across all PIPECARE territories.
Key Responsibilities & Authorities
- Review and optimize the design and layout of ERP forms, project templates, dashboards, and checklists used within PMO workflows.
- Collaborate with the PMO Business Analyst and ERP/IT teams to refine user interfaces and navigation logic in systems used for project and program management.
- Conduct user feedback sessions to identify friction points and opportunities for interface improvement.
- Ensure accessibility standards and usability best practices are reflected in PMO systems.
- Maintain consistency in field names, process terms, button labels, and formatting across digital tools and templates.
- Support the testing and validation of new system features, with a focus on user interaction and ease of use.
- Participate in the development of training and onboarding materials to support the adoption of tools.
- Ensure updates to UI/UX components are communicated and rolled out with minimal disruption.
- Track and report common usability issues to the PMO Director and ERP IT department.
- Assist in creating visual guides, instructional flows, or simplified views for complex project data entry screens.
- Support PMO-wide system improvement efforts, focusing on end-user satisfaction and process efficiency.
- Execute other UX-related tasks as requested by the PMO Director.
- Education: Bachelor’s degree in Information Systems, Human-Computer Interaction, UX Design, Engineering, or related field.
- 3–5 years of experience in UX support, business systems, or ERP-focused roles in project-based environments.
- Experience working with ERP or business systems (e.g., Odoo, SAP, Oracle) with user-facing components.
- Familiarity with UX/UI feedback tools, user research methods, and interface testing.
- Strong working knowledge of Microsoft Office and visual design and documentation tools (e.g., PowerPoint, Visio, or Lucidchart).
- Exposure to project workflows, lifecycle documentation, and digital adoption methods.
- Strong English communication skills: proficiency in other languages is a plus.
Physical and Mental Requirements:
- Lifting and Carrying: Ability to lift and carry up to 50 pounds.
- Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells.
- Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively.
- Focus and Multitasking: Ability to maintain focus and multitask effectively.
- Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
- Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary.
