PMO Sales Coordinator

PMO Sales Coordinator is responsible for supporting the alignment between Sales, PMO, and Operations during the early stages of the project lifecycle. This includes coordinating documentation, tracking proposals and opportunity progress, ensuring readiness for key stage-gate reviews, and facilitating the transition from opportunity qualification through contract finalization.
Key Responsibilities & Authorities
- Support PMO coordination during early project lifecycle phases by bridging project data, documentation, and readiness activities.
- Collaborate with Sales Engineers, Sales Directors, Tool Management, and Operations to assist with proposal inputs, cost estimates, and supporting documentation.
- Ensure consistent usage and filing of standard PMO templates (e.g., business cases, costing models, checklists).
- Organize and document internal review meetings and project handovers between Sales and Operations.
- Coordinate and follow up on the handover process from Sales to Operations to ensure timely transition and documentation closure.
- Maintain accurate trackers for opportunities and proposals, ensuring that PMO and CRM/ERP systems are updated.
- Monitor and track commercial risks and associated mitigation plans across Territories, escalating delays or gaps where necessary.
- Support the preparation of documentation for management reviews and decision checkpoints.
- Assist the Master Planner in updating dashboards, ERP/CRM systems, and generating related reports.
- Contribute to lessons learned from proposal and project initiation activities.
- Execute any additional coordination tasks as assigned by the Master Planner or PMO Directors.
- Education: Bachelor’s degree in Industrial Engineering, Business Administration, Project Management, or a related field.
- 2–4 years of experience in sales coordination, proposal support, or project administration roles.
- Familiarity with project-based industries, such as Oil and Gas, Engineering, or Industrial Services.
- Strong skills in Microsoft Office Suite (Excel, Word, PowerPoint); experience with Salesforce is required, and familiarity with other CRM or ERP platforms is a plus.
- Understanding of opportunity qualification, proposal, and contract handover processes.
- Familiarity with project management principles and PMO functions is a strong asset.
- Certification in CAPM (Certified Associate in Project Management) or PRINCE2 Foundation is an advantage.
- Fluent in English; additional languages are a plus.
Physical and Mental Requirements:
- Lifting and Carrying: Ability to lift and carry up to 50 pounds.
- Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells.
- Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively.
- Focus and Multitasking: Ability to maintain focus and multitask effectively.
- Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
- Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary.
