Project Administrator
The Project Administrator will play a key role in supporting the successful execution of projects by coordinating project administration activities, optimizing workforce allocation, and ensuring the efficient deployment of resources. The role is responsible for maintaining effective project coordination, supporting operational planning, and ensuring that field activities are executed in accordance with project schedules, client requirements, and company standards. The successful candidate will contribute to maximizing resource utilization, enhancing operational efficiency, and ensuring seamless project delivery.
Key Responsibilities and Authorities:
- Assist Operation Director and Project Managers (ME) to prepare Project information document, including detailed execution plan with allocation of resources and Project Risk Management Plan.
- Work closely with Territory Directors and operations management of LIN SCAN Subsidiaries on Projects executions and timeframes.
- Establish the proper communication on the Projects daily work progress between the Corporate Operations Management Department and Territory Directors of LIN SCAN Subsidiaries through ERP and regular reporting.
- Communicate daily with field staff to review daily activities and project progress. Identify which activities require special attention of being executed as per Projects scheduled plan.
- Prioritize the importance of these activities for the Corporate and Subsidiary management team to overcome the shortcomings.
- Alert on possible slippage timely so that management can take preventive actions and prevent Project execution delays.
- Advice management on the activities necessary to get Projects back on the planned schedule.
- Assist in managing the Operations field manpower requirements. Optimize usage of field personnel.
- Cooperate with the Tool Management/Production Department to assure the tool fleet is optimized for all the Projects.
- Cooperate with Financial Department to optimize the Projects cash flow.
- Cooperate with other LIN SCAN departments making sure that organization benefits from the accumulated project experiences.
- Maintain and update the Project related data in ERP system.
- Ensure timely submission of invoices to clients and proactively follow up to facilitate on-time payment collection.
- Coordinate and support travel arrangements for field team members, ensuring timely and cost-effective travel planning.
- Assist in the timely submission of monthly statutory and contractual compliance documents through clients' designated portals, ensuring accuracy and adherence to submission deadlines. Execute all other tasks as requested by POM and/or Executive Team within the assigned job role.
- Degree in Engineering (Mechanical or relevant) plus 3 years of operation planning experience
- Experience in Oil and Gas sector or EPC contracting
- Computer skills in Microsoft word, excel and outlook at an intermediate level
- Fluency in English, the language of the Territory or Main Country is an advantage
- Ability to travel extensively if required
Physical and Mental Requirements:
- Lifting and Carrying: Ability to lift and carry up to 50 pounds.
- Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells.
- Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively.
- Focus and Multitasking: Ability to maintain focus and multitask effectively.
- Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
- Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary.
